Visa Information

Participants who require a visa to enter Japan are advised to apply well in advance at the nearest Japanese Embassy or Consulate.

For most participants attending EMSEV2026, a ‘Temporary Visitor Visa’ (for short-term stay for academic activities without remuneration) is suitable.

To apply for a visa, participants will generally need the following documents:

* A valid passport
* Visa application form and photograph
* Invitation letter issued by the EMSEV2026 Organizing Committee
* Conference information (First Circular or official website information)
* A certificate of employment or enrollment from your home institution
* Documents showing financial support during your stay (e.g., support letter (invitation letter) or bank statement)

The Chair of EMSEV will issue the invitation letter on behalf of the Organizing Committee.

Please note that the invitation is for academic purposes only and does not imply any employment relationship with the organizers.

Please be aware that visa requirements and processing times vary depending on nationality.

Participants are strongly encouraged to contact the nearest Japanese Embassy or Consulate for the most accurate and up-to-date information.

If you need an invitation letter, please get in touch with the EMSEV2026 Secretariat with the following information:

* Full name (as in passport)
* Nationality
* Date of birth
* Affiliation and position
* Passport number and expiry date
* Planned arrival and departure dates

The Organizing Committee will make every effort to support your visa application.

Note that Participants are advised to ensure that their passports are valid for the entire period of stay in Japan and preferably for several months beyond the intended date of departure.
